Financial Operations Coordinator

ProPublica is seeking a curious, detail-oriented and nimble professional to join the New York City headquarters as the Financial Operations Coordinator, reporting to the Finance Director. This full-time position will be part of a five-person accounting/finance team responsible for an annual operating budget of approximately $43 million. The Coordinator, working in partnership with Development, will play a critical role on the Finance team, with primary focus on tracking, reporting and compliance activities related to gifts and grants, and a secondary focus on gift-related accounting activity such as recording deposits and coding invoices. This would be a good opportunity for someone who wants to deepen their understanding of the grant life cycle and how nonprofits use contributions to fulfill their mission and create positive impact.

Responsibilities will include, but are not limited to:

  • Coordinating the allocation of salaries and other costs to grants/funding codes, in an organization that is substantially funded by large grants with specific budgets — and receives no government funding.
  • Assisting the Finance Director with preparation of grant budgets.
  • Tracking costs by grant and comparing actual costs to budget.
  • Supporting the annual financial audit, Form 990 preparation and state fundraising registrations.
  • Ensuring appropriate processing and tracking of incoming payments/donations and assisting with maintenance of the grants receivable schedules and asset releases for restricted funding sources.
  • Gathering information from the Development team to ensure accurate understanding of grant requirements and purpose.
  • Working with the Finance Director to improve processes for developing grant budgets, salary allocations and management of restricted funds,
  • Assisting with annual organizational budgeting process.
  • Reviewing accounts payable invoices, particularly relating to grant/funding allocation.
  • Processing and recording deposits.
  • Other data entry, including allocation of costs across departments and various journal entries.
  • Maintenance and organization of finance files and records.
  • Acting as backup to other Finance team members as needed.
  • General financial administrative support and other duties as assigned.

Qualifications

  • Aptitude for working cross-functionally and relaying relevant information in an accessible way to stakeholders outside of the finance department.
  • Excellent written and verbal communication skills.
  • An active, engaged approach to work, taking initiative, coordinating with others and following through.
  • Exceptional attention to detail and ability to meet deadlines.
  • Integrity and ability to discreetly handle confidential, sensitive information.
  • 2+ years of experience with grant management and/or accounting are a plus.
  • Experience with Microsoft Office, Google Suite, Quickbooks Online, Bill.com and database management are a plus.
  • Some in-office work is required.

The Financial Operations Coordinator is a full-time position based in New York City with work occurring during typical weekday business hours. Some in-office work will be required, so applicants must be able to commute to Manhattan 2-3 days per week (as many as 4 days per week during peak seasons). ProPublica offers a comprehensive benefits program, paid vacation and a 403(b) retirement plan with a student loan reimbursement component. Applicants must be eligible to work in the U.S.

The expected salary range for this position is $60,000 to $80,000.

This is a good faith estimate of what we expect to pay for this position. The final salary figure will take into account a person’s experience and accomplishment. ProPublica is committed to paying its staff equitably, and these ranges should not be considered career salary limits or caps.
