ProPublica is seeking a self-motivated and well-organized administrator to join the New York headquarters in the role of finance/human resources associate. This position reports to the finance coordinator and the human resources manager, and it will be part of a five-person finance/HR team responsible for an annual operating budget of approximately $34 million and supporting a growing staff, currently of 145. The finance and human resources associate will play a critical role to support the monthly close process, ensuring that all transactions are processed in a timely and accurate manner, and will also be a point of contact for staff members across the organization for routine benefit-related questions.
The ideal candidate will have some bookkeeping and some human resources experience. The ability to take initiative, coordinate with others and follow through in a dynamic and highly confidential environment is a must. Excellent organizational ability demonstrated in meeting deadlines, setting priorities, maintaining accuracy in details and working in a cooperative and self-directed manner are also critical. Knowledge of Microsoft Office, especially Excel, and basic bookkeeping skills are required. Knowledge of QuickBooks, expense report management systems and/or payroll processing or HRIS systems is a plus. Interest in HR and finance is required. We are willing to train if you have experience in finance and not human resources, but you must have an interest in learning about HR processes. Must be collegial and enjoy supporting staff across the organization.
Responsibilities will include, but are not limited to:
Accounts payable, including coding and entering invoices, vendor relationship management, and maintenance/organization of finance files.
Banking support functions, including downloading statements and bank transactions and entering deposits in Quickbooks.
General financial administrative support, including support for the annual audit, data entry and compilation, and ad hoc projects upon request.
Assisting the human resources manager on projects as needed
Ensuring all employee paperwork is complete and on file in HRIS
Ensuring all employees complete required training
Benefit-related data entry, vetting of insurance invoices and vendor coordination
Staff contact for basic benefit-related questions and, eventually, handling all employee leave administration
Running monthly HR reports and assisting on various statistical reports Posting jobs on various website
Other duties as assigned.
